When to Use Cold Outreach

Cold outreach works best when you have identified high-value sites in your niche that are not yet in your network. The key is providing clear value upfront rather than asking for a favor.

Preparation

  1. Build a prospect list of 50-100 relevant domains using competitor backlink analysis
  2. Find the right contact — look for content managers, editors, or SEO leads (not generic info@ addresses)
  3. Research each prospect — read their recent content and note something specific you can reference
  4. Prepare your value proposition — identify what you can offer them (content, links, exposure)

Outreach Message Structure

  1. Opening line — reference something specific about their site or recent content
  2. Who you are — one sentence about your site and what you do
  3. The ask — clearly explain the type of link exchange or collaboration you are proposing
  4. The value — explain what they get in return
  5. Call to action — ask a specific question to prompt a reply

Best Practices

  • Keep emails under 150 words
  • Send from a real person’s email address, not a generic company account
  • Personalize at least the first two sentences for each prospect
  • Send outreach Tuesday through Thursday between 9am and 11am in the recipient’s timezone
  • Never use manipulative subject lines or false urgency

Expected Response Rates

  • Well-targeted cold outreach: 8-15% response rate
  • Generic or templated outreach: 1-3% response rate
  • Follow-up sequences can increase total response rate by 30-50%
